Privacy & Deletion

Upload rules

• Upload 1 ID image and 1 selfie.
• Mask the last 4 digits of the document number/personal number before uploading.
• Uploads are used only for visual comparison and age verification (18+).

Files and deletion

• You can delete your uploaded files yourself while your case is Pending.
• When your case is approved or denied, the upload files are deleted automatically.
• 14-day auto-deletion: If a case is unexpectedly not processed within 14 days, the system automatically deletes the encrypted files.

Encryption and access

• Images are encrypted on your device before they ever reach the server. While Pending, they are stored as an unreadable, encrypted package.
• Only SunShine (the owner of PhoenixGaming.net) has the encryption key needed to view the images during review.
• Therefore, no one else (staff, admins, database users, or anyone else) can read the images while they are waiting.

Quick summary: Uploads are encrypted before upload and stored unreadable on the server. Only SunShine has the key to view them during review. You can delete them while pending, and files are deleted automatically after approval/denial — or at the latest after 14 days.

What we store

• Discord ID (used to assign roles)
• 18+ status (verified / not verified)
• Audit: when the case was approved/denied

What we do not store

• No permanent ID images
• No date of birth / personal ID number
• No sharing with PhoenixGaming.net

Access

• Only SunShine can view uploads in the admin panel.
• No moderators/staff have access in this system.
• Uploads are stored outside the webroot (not accessible via direct links).
